You take one day off.
Maybe you have an appointment. Maybe you’re traveling. Maybe you just decide you’re going to take a Friday and actually not work.
And somehow, by noon, your phone is blowing up.
Someone needs an answer.
A client has an issue.
An employee doesn’t know what to do.
A decision is sitting there waiting for you.
You come back the next day and spend half your morning cleaning things up.
At some point, you start thinking:
It’s just easier if I’m here.
And that’s exactly how the owner becomes the bottleneck.
Your team should need you for certain things.
You’re the owner. There are decisions, relationships, and responsibilities that should stay with you.
The problem is when everything needs you.
When every decision runs through you, your business can only move as quickly as you can.
And eventually, you hit capacity.
Not because the business can’t grow.
Because you can’t personally carry any more of it.
You might be the bottleneck if:
You’re constantly answering questions your team should be able to answer.
Projects stall when you’re unavailable.
Employees ask for permission before making relatively small decisions.
Clients automatically come to you when there is a problem.
You’re still doing work you hired someone else to do.
You can’t take time off without checking email, Slack, or your phone.
You regularly say, “It’ll be faster if I just do it myself.”
And maybe the biggest one:
You’re working harder while the business keeps getting bigger.
That isn’t sustainable growth.
That is a business becoming increasingly dependent on its owner.
You do not need to delegate your entire job tomorrow.
Start with these three areas.
If your team asks you the same types of questions repeatedly, those decisions should probably have a framework.
What can they decide without you?
What dollar amount can they approve?
When does something actually need to be escalated?
What does “good judgment” look like inside your company?
Your team cannot take ownership if they don’t know where their authority starts and stops.
This one is harder.
A team member brings you a problem.
You immediately know the solution.
So you give it to them.
Problem solved.
Except you’ve also trained them to bring the next problem directly to you.
Instead, start asking:
What do you think we should do?
Let them think.
Let them make recommendations.
And when the stakes are reasonable, let them make the decision.
Your job is not to be the best problem solver in the company forever.
Your job is to build people who can solve problems without you.
Every owner has some of this.
Scheduling.
Administrative work.
Following up with employees.
Checking routine reports.
Fixing small client issues.
Approving things that don’t actually require owner approval.
You probably started doing those things because someone had to.
That does not mean you should still be doing them three years later.
Growth requires periodically asking:
Does this still belong to me?
Then a few days.
Then a week.
That doesn’t mean you become disconnected from the business.
It means the business no longer depends on your constant presence to operate.
There is a big difference.
The goal is not to become unnecessary.
The goal is to stop being necessary for everything.
That is when you finally get the space to lead, think strategically, and build what comes next.
And if your business currently falls apart every time you step away, that’s not a reason to stop taking time off.
It’s a sign that the structure underneath the business needs to change.
